1. Enrolment and Admission
1.1 Enrolment is confirmed only after: (a) submission of the required registration details, (b) successful verification of payment, and (c) issuance of the Institute's confirmation by email or other official communication.
1.2 The Institute may reject, suspend, or cancel enrolment if any information provided by the student is false, incomplete, misleading, or inconsistent with Institute requirements.
1.3 The student must use only the officially approved registration link, QR, payment channel, and communication channels provided by the Institute.
2. Course Delivery
2.1 The Institute provides online IELTS and/or PTE coaching classes, including group classes and one-to-one classes.
2.2 The Institute may conduct classes, assessments, mock tests, communications, or support through official online platforms designated by the Institute from time to time.
2.3 The Institute reserves the right to change class timing, teacher, platform, batch structure, or delivery method where reasonably necessary.
3. Payment Policy
3.1 Full payment must be made in advance before final class access is granted.
3.2 Fees shall be charged as stated in the student's selected plan, invoice, offer, or official communication of the Institute.
3.3 All bank charges, gateway charges, intermediary charges, foreign exchange conversion charges, transfer charges, and similar third-party processing charges shall be borne by the student unless the Institute agrees otherwise in writing.
4. Refund and Cancellation Policy
4.1 If the student requests cancellation at least 7 days before the first scheduled class, the student shall be eligible for a full refund of the course fee actually received, less any non-refundable payment processing charges already incurred.
4.2 If the student requests cancellation 1 day before the class, the student shall be eligible for a 50% refund of the course fee actually received, less any non-refundable payment processing charges already incurred.
4.3 No refund shall be available from the first class start date, except where a refund is required by applicable law.
4.4 For international payments, approved refunds (if any) will be processed only to the original payment source and may be reduced by non-refundable bank, gateway, intermediary, chargeback, and foreign exchange conversion costs. Processing time may be longer for cross-border transactions.
4.5 No refund shall be given for: (a) non-attendance, partial attendance, late joining, or missed classes; (b) student work schedule, travel, exam delay, personal reasons, or change of mind after the applicable refund window; (c) dissatisfaction caused by the student's own internet, device, electricity, or environment issues; (d) suspension or termination due to breach of these Terms; and (e) optional add-on services, subscriptions, or third-party tools already activated or provided.
4.6 If the Institute cancels a batch before it starts and does not provide a reasonable replacement option, the Institute shall refund the eligible amount received, subject to deduction of non-refundable third-party payment charges where applicable.
4.7 Once an IELTS or PTE exam booking is confirmed, the booking fee is non-refundable and non-transferable. The Institute shall not be responsible for any refund if the student cancels, changes their mind, or fails to attend the exam.
5. Class Rules and Student Conduct
5.1 Students must join class using the name registered with the Institute or as instructed by the Institute.
5.2 The teacher or authorised Institute representative may verify students before allowing them to enter class.
5.3 Students must behave respectfully toward teachers, staff, and other students at all times.
5.4 Students shall not: (a) share class links, passwords, or access credentials; (b) allow any unauthorised person to attend class through their access; (c) use abusive, offensive, threatening, discriminatory, defamatory, or disruptive language or conduct; or (d) cheat, impersonate, misrepresent identity, or misuse Institute systems.
5.5 The Institute may remove or suspend any student from class for misconduct, indiscipline, policy breach, or behaviour that disrupts teaching or affects other students.
6. Attendance and Completion Certificate
6.1 Student attendance shall be recorded through the Institute's official attendance or CRM system.
6.2 A student must maintain at least 80% attendance to be eligible for a completion certificate.
6.3 The Institute may refuse to issue a completion certificate if: (a) attendance is below 80%; (b) fees remain unpaid; or (c) the student has been suspended or terminated for misconduct.
7. Assessments, Mock Tests, and Academic Support
7.1 The Institute may assign assessments, practice work, mock tests, speaking tasks, or voice recordings through official channels designated by the Institute.
7.2 Students must submit assessments within the instructed time and format.
7.3 Speaking practice may include live sessions, recorded voice submissions, or simulated test activities.
7.4 The Institute may use internal or third-party learning and mock-test tools as part of academic support.
7.5 The Institute does not guarantee any specific IELTS or PTE score, admission result, visa approval, scholarship, or other external outcome.
8. Technical Issues
8.1 The student is solely responsible for arranging a suitable device, power supply, software, internet connection, microphone, camera, and quiet environment for class participation.
8.2 The Institute shall not be responsible for missed classes, poor participation, failed submissions, or reduced learning quality caused by the student's internet, device, electricity, software, or other technical problems on the student's side.
8.3 If a significant technical problem occurs on the Institute's side and materially affects class delivery, the Institute may, at its discretion, reschedule the session or provide another reasonable academic remedy.
9. Recording, Intellectual Property, and Use of Class Content
9.1 Students are strictly prohibited from recording, screenshotting, photographing, screen-recording, livestreaming, copying, reposting, forwarding, publishing, or distributing any class, teacher content, student submission, or part of any session without prior written permission from the Institute.
9.2 The Institute may record online classes for academic administration, quality control, teacher training, operational review, dispute handling, promotional, training, or marketing purposes.
9.3 The Institute may use recorded online classes for promotional, training, or marketing purposes.
9.4 The Institute may use any student's identifiable image, name, voice, chat, testimonial, class activity, or submission for public promotional, training, or marketing purposes, including use on social media platforms. If a student does not agree to such use, the student must submit a written application to the Institute. Refusal to give such consent shall not affect the student's class access.
9.5 All class content, teaching materials, worksheets, presentations, recordings, assessments, and related content are the intellectual property of the Institute or the relevant rights holder and may not be copied, sold, redistributed, or commercially used without written permission.
10. Data Privacy
10.1 The Institute may collect, store, and process student information including name, contact details, payment details, academic preferences, attendance, communication records, and assessment records for lawful educational, operational, payment, support, and compliance purposes.
10.2 The Institute shall take reasonable steps to protect student data and use it only for legitimate business, academic, administrative, legal, and service-delivery purposes.
10.3 The Institute may share necessary student information with banks, payment processors, communication platforms, cloud service providers, CRM providers, and other service partners strictly to the extent required for payment processing, academic delivery, administration, and support.
10.4 Students must provide accurate information and notify the Institute if important personal details change.
11. Rescheduling
11.1 One-to-one class timing may be arranged separately, subject to teacher availability.
11.2 Rescheduling of one-to-one classes is permitted only with prior notice acceptable to the Institute.
11.3 Missed one-to-one sessions without reasonable prior notice may be treated as consumed.
11.4 Missed group classes are not automatically replaced unless the Institute expressly offers a make-up option.
11.5 If a teacher is absent, a class is interrupted, a government holiday is declared, or any other event beyond the Institute's reasonable control affects the scheduled class, the Institute may, with prior notice where reasonably possible, reschedule the affected class to another suitable date or time. Such rescheduling shall not entitle the student to a refund.
11.6 Students cannot change their selected class, batch, plan, or schedule after confirmation, unless the Institute approves the change based on availability and valid reason.
11.7 If a student misses a class, the Institute may provide access to recorded classes for a maximum of 3 missed classes only during the course period. No additional recorded classes or replacement classes shall be guaranteed beyond this limit.
12. Suspension and Termination
12.1 The Institute may suspend or terminate a student's access without refund if the student: (a) breaches these Terms; (b) records or distributes class content without permission; (c) shares access credentials or class materials improperly; (d) engages in abusive or disruptive conduct; or (e) commits fraud, impersonation, or payment misuse.
13. Limitation of Liability
13.1 To the maximum extent permitted by law, the Institute's liability in relation to the course shall be limited to the amount of fees actually received by the Institute for that course.
13.2 The Institute shall not be liable for indirect, consequential, reputational, academic, admission-related, visa-related, employment-related, or opportunity-loss claims.
14. Complaints and Dispute Resolution
14.1 Students must first submit any complaint through the Institute's official email or other designated support channel.
14.2 The Institute shall review the complaint and respond within a reasonable time.
14.3 These Terms shall be governed by the laws of Nepal.
14.4 Any dispute not resolved amicably shall be subject to the jurisdiction of the competent courts of Kathmandu, Nepal, unless mandatory law requires otherwise.
15. Acceptance
15.1 By registering, paying, joining class, or using any course-related service, the student confirms that the student has read, understood, and agreed to these Terms and Conditions and Refund Policy.
